In short

The integronix.az website belongs to «İNTEGRONİX» MMC. We are responsible for the data you entrust to us.
The site has no registration, no login and no payment. It sets no cookies of its own.
When you send a form, its text arrives as a message in our work chat on Telegram, so that we can answer you and prepare a quotation. Each accepted form is always saved first as a copy in the site's database, so that your enquiry is not lost if the Telegram message does not get through. The copy is deleted automatically 12 months after submission. Your IP address is not stored in that copy, and neither is any value derived from it.
Analytics (PostHog) starts only if you click "Allow". It works without cookies, creates no profiles, and anything you type into form fields is hidden from it.
Your data is processed outside Azerbaijan: by Telegram, by PostHog (USA) and in the Cloudflare network.

1. Who is responsible for your data

«İNTEGRONİX» MMC, VÖEN (tax ID) 2008341891, is the owner and operator of personal data within the meaning of the Law of the Republic of Azerbaijan "On Personal Data" No. 998-IIIQ of 11 May 2010 (the "Law").

We are a systems integrator for organisations: technical service and repair of security equipment, and supply of equipment for projects.

2. What this notice covers

The integronix.az website in all its language versions: the request-for-quotation form, the contact form and the analytics consent banner.

If you write to us on WhatsApp or by e-mail, you choose that channel: the rules of the chosen service apply to the transmission of your message, and we use the message we receive as described in section 3.1.

3. What data we process and why

3.1. Request-for-quotation and contact forms

What data. Name, organisation, e-mail, phone, message or comment. The request-for-quotation form also asks for: end customer or site, site type, project, deadline, request type, procurement mode, product categories and items. Together with the form, the site stores the time of submission, the page language and the status of delivery to Telegram (pending, sent, failed or handled).

Why. To answer your enquiry and prepare a quotation, that is, to do what you ask us to do before a possible contract. For nothing else. The stored copy serves this same single purpose: so that your enquiry is not lost.

Legal basis. Your consent (the form cannot be sent without ticking the consent box) and the information you yourself provided in writing (Articles 8.1 and 9.6.1 of the Law). By ticking the box you also consent to the transfer of your message outside Azerbaijan described in section 4 (Article 14.3).

How it is delivered. Every accepted form is always saved first as a copy in the site's database (Cloudflare D1), and only then does the site try to send its content as a message to the company's work chat on Telegram through the Telegram Bot API. The form fields, the time of submission, the page language and the status of delivery to Telegram are stored. Your IP address is not stored in this copy, and neither is any value derived from it. If sending to Telegram fails, a scheduled job of the site automatically tries to send the message again from the stored copy for up to 7 days after submission. Once the copy is stored, the site tells you that your request has been received. The site offers you WhatsApp, a phone call or a pre-filled e-mail only if both saving the copy and sending the message have failed.

If you give details of other people (for example, the customer's contact person), please make sure you are entitled to share them.

3.2. Protecting the forms from abuse

What data. Technical request data: IP address and the result of the Cloudflare Turnstile check (Turnstile is a Cloudflare service that tells people apart from programs). The form contains a hidden trap field (honeypot): people do not see it, only bots fill it in. The number of submissions from one IP address is limited. For this, the IP address is used for 10 minutes as the key of a temporary counter in the Cloudflare cache.

Why. So that the forms are not flooded with spam and automated submissions.

Legal basis. The security measures that the owner and operator of personal data must take (Articles 5.8 and 10.1 of the Law).

3.3. Analytics: only with your consent

What data. Page views and page exits, clicks, JavaScript errors; session replay, which shows how you moved around the page, with everything you type into form fields hidden. Your IP address is forwarded to PostHog to determine approximate geography.

How it works. PostHog is loaded through an address on our own domain; the data is processed in PostHog's US region. Analytics sets no cookies and stores no identifier in your browser: the identifier exists only in the memory of the open page and disappears when you close it. No visitor profiles are created, and analytics is not linked to your name or to your form data.

Why. To understand which pages are useful, where visitors run into errors or abandon the form, and to improve the site.

Legal basis. Your consent in the banner (Article 9.6.1 of the Law), including consent to the transfer of data to the USA (Article 14.3). If you clicked "Decline" or made no choice, analytics does not start.

3.4. How the site remembers your choice

The site sets no cookies of its own. Your banner choice is kept in your browser's localStorage (key `inx-consent`) and is not sent to our server.

The site has no user accounts, no login and no payment.

4. Who receives the data, and transfer outside Azerbaijan

Form messages are seen by the members of the company's work chat on Telegram. Apart from that, we pass data only to the following services:

Telegram: delivers the form message and keeps it in the chat. Telegram's servers are located outside Azerbaijan.
PostHog: analytics, if you have allowed it. The data is processed in the USA.
Cloudflare: hosts the site (Cloudflare Pages), runs the Turnstile check and stores copies of forms submitted through the site in the site's database (Cloudflare D1). Cloudflare processes technical request data, including the IP address, in its international network, including outside Azerbaijan. The copies of forms are stored in Cloudflare's international network, whose servers may include servers outside Azerbaijan.

Your data leaves Azerbaijan. Form and analytics data is transferred abroad on the basis of your consent (Article 14.3 of the Law). We are responsible for the security of the data during such transfer (Article 14.4).

5. How long we keep data

Form messages are kept only as long as needed to answer your enquiry and, if a contract follows, for the periods required by law. The copy of the form in the site's database is deleted automatically 12 months after the form is submitted. A copy whose message was never delivered to Telegram is kept until we have handled the enquiry and is deleted only after that.  Analytics data is kept in PostHog no longer than needed to improve the site.  When data is no longer needed, it is destroyed (Article 9.4 of the Law). Your banner choice stays in your browser until you clear the site's data.

6. Your rights and how to use them

Under the Law (in particular Article 7) you have the right to:

find out whether we hold data about you, who processes it and for what purpose;
see your data;
have it corrected and, except where the law provides otherwise, destroyed;
have its processing stopped and object to it;
withdraw your consent;
complain to the competent executive authority or to a court.

How to contact us. Write to info@integronix.az or call +994 55 600 36 66. It is free of charge (Article 12.1). We reply within 7 working days of receiving your request at the latest; if we need to contact a third party, this period may be extended by another 7 working days (Article 12.4). Under the Law these rights are exercised by a written application on paper together with an identity document, or by an electronic request signed with an enhanced electronic signature (Article 7.5). Write or call us and we will tell you how to file the request.

To withdraw consent to analytics, use the button for changing your choice on this page, or clear the data of integronix.az in your browser settings. After that, analytics does not start until you allow it again.

To withdraw consent given in a form, write to us or call: we will delete your message from the chat and its copy from the site's database, unless the law requires us to keep them.

7. How we protect data

The copy of a form message in the site's database is deleted automatically 12 months after submission; your IP address is not stored in that copy, and neither is any value derived from it.
The forms are protected by the Cloudflare Turnstile check, a hidden trap field and a limit on submissions from one IP address.
In session replay, everything typed into form fields is hidden.
Analytics starts only after consent, uses no cookies and creates no profiles.
The site has no accounts or passwords, so there are no login details to steal.

8. Changes to this notice

Each version has a number and a date; the current version is published on this page. If a change affects what you consented to (for example, a new recipient or a new purpose), we will ask for your consent again before applying it.
